Important Notice: Deprecation of EWS Support for Outlook and Transition to Microsoft Graph API in GlobalCapture

Overview

Microsoft has announced the retirement of the Exchange Web Services (EWS) API for Exchange Online. EWS is already deprecated and will be fully retired on October 1, 2026, at which point EWS calls to Exchange Online will stop functioning.

To align with Microsoft’s roadmap and ensure long‑term compatibility, Square 9 will be deprecating support for EWS‑based email ingestion within GlobalCapture. All customers must transition to Microsoft Graph API for accessing Outlook and Exchange Online mailboxes.

What Is Changing

As part of this transition:

  • EWS‑based email connections in GlobalCapture are now deprecated

  • EWS support will be removed in a future GlobalCapture release AFTER Microsoft’s retirement date

  • Microsoft Graph API will be the required method for connecting to Exchange Online mailboxes

  • Existing EWS configurations will continue to function only until Microsoft disables the service on October 1, 2026

  • A new Email Import Node for Exchange based mailboxes will be made available, which will allow this change to be minimally invasive for any customer’s on modern versions of Square 9 products.

Why This Change Is Required

Microsoft has ended investment in EWS and is retiring it entirely for Exchange Online. Graph API is now the supported, modern interface for:

  • Secure OAuth 2.0 authentication

  • Accessing Microsoft 365 mailboxes

  • Managing permissions through Microsoft Entra ID

  • Ensuring long‑term compatibility with Microsoft’s cloud services

To avoid service disruption, customers must migrate to Graph API before Microsoft’s retirement date.

What Customers Need to Do

1. You need a modern version of GlobalCapture

Customers on versions of GlobalCapture less than 2.4 will need to upgrade to the current version. The new node will not work on versions prior to this.

2. Configure a Microsoft Entra ID App Registration

This includes granting the necessary Graph API permissions for mailbox access. Follow our configuration guide:

3. Update GlobalCapture Email Sources

Add the updated Exchange email import node to your environment from the Node SDN and switch existing EWS‑based import nodes to the new node, which leverages access through Graph API. The node name is o365 Email Graph.

Please refer to the configuration notes for the node to understand potential changes to expected behaviors in your workflow.

4. Test and Validate

Ensure that:

  • Mailbox access succeeds

  • Messages are retrieved as expected

  • Dependent workflows continue to operate normally

Timeline

  • EWS deprecated by Microsoft: Already in effect

  • EWS fully retired for Exchange Online: October 1, 2026

  • Square 9 EWS support deprecation: Effective immediately

  • EWS removal from GlobalCapture: Post Microsoft’s retirement date

Customers should complete their migration well before October 1, 2026 to avoid service interruption.
