PDF Convert

Use case specific import nodes like this one do not have “Convert to PDF” options at the node level. This is true for the GMail import node as well. Customers needing this feature should use a PDF convert step immediately following import, which is a functionally equivalent process.

Delete emails on import

It’s often helpful to leave this option un-checked for testing workflows. Messages will remain in the inbox untouched, and will be processed repeatedly. When enabled, messages are permanently deleted, but will remain in the “stage 2” recycle bin.

If you want emails to follow traditional client side mailbox rules where deleted messages just move to the “Trash” folder, select the Move to Trash on Import option.

Behavior of Deleted Items in Outlook

When the Import Node retrieves an email from an Exchange mailbox, the message is typically deleted after processing (depending on your Import Node configuration). In Outlook, deleting a message does not immediately remove it permanently.

Outlook uses a two‑stage deletion model:

  • Deleted Items folder – the first recycle bin

  • Recoverable Items (“Recover items deleted from this folder”) – the second recycle bin

After Import Node deletes a message, Outlook may show a link at the top of the Deleted Items folder:

  • Recover items deleted from this folder (X items)

This indicates that the message has been moved to Outlook’s Recoverable Items area. It is still recoverable for a period defined by the organization’s Exchange retention policy (commonly 14–30 days).

This is expected behavior and does not indicate an error in Import Node.

Why this matters for users

  • Emails processed by Import Node may not appear in Deleted Items, even though they were successfully deleted.

  • Users may still see them under Recover items deleted from this folder.

  • This is normal for Exchange and Outlook and is controlled by Exchange retention policies, not Square 9.
