Task Management

Task lists give users a list of submissions they need to work on, such as expense reports waiting for approval, with a button to open each one. They suit multi-step processes like purchase approvals, where users return to forms that were already submitted.

Before you begin

  • The form whose submissions you want to list, with a few test submissions.

  • Task lists are managed in the Task List Dashboard form, in the Forms list. Always open it with View. Do not edit the task list forms in the form builder.

Create a task list

  1. View the Task List Dashboard and select Create New Task List.

  2. Fill in the header:

Setting

Description

Dashboard Name

Required. The name you see in the dashboard.

Display Title

Optional. Shown at the top of the list for users.

Upload a Logo

Optional. Shown at the top of the list.

Enable search bar filter

Adds a basic search box to the list.

  1. In Task List Configuration, select the form. The Label fills in with the form's name; change it to describe this list, especially when the list contains several forms.

  2. Add the fields to show as columns. At least one is required. Choose only the few fields users need to recognize each item.

  3. Optionally, filter which submissions appear. See Filtering Tasks.

  4. Select Save Task List.

Share the list

In the dashboard, select Launch Task List on your list. It opens in a new tab; share that tab's address with the list's users. Users select Open on a row to work on that submission.
