Self Service User Accounts

Let people create their own GlobalForms account with a sign-up form. This is useful when outside users need to sign in, for example new hires completing onboarding forms before their first day, or applicants who need to save and come back to a form.

When users need an account

Public forms can be filled in without signing in. Users need an account when they must:

  • save a form and finish it later

  • see or update their submissions after sending them

  • take part in a workflow after their first submission

Set up self-service sign-up

  1. Download the Create New Account form, Create New Account.json, and import it into GlobalForms.

  2. Open the form and adjust its wording and fields for your process.

  3. Allow the Anonymous role to submit it: give Anonymous Create Own Submissions in the form's access settings.

  4. Optionally, set a redirect so users go to the right place after creating an account. See Submission Behaviors.

  5. Share the form's link with the people who need accounts.

How the sign-up form works

  • All fields are required.

  • The email address becomes the user's sign-in name and must not already be in use.

  • Email must match Confirm Email, and Password must match Confirm Password.

When the user selects Create Account, two form actions run:

Action

What it does

Save Submission

Keeps a record of the sign-up. Optional, but useful for tracking.

Save New User

Creates the account in the User resource, mapping the user's email to the account's name and email, and saving the password.

The Save New User action includes a condition that runs it only when formStatus is "Approved". In this form that is always true. You can use the same approach to require approval before an account is created.

Things to consider

  • Anyone with the link can create an account. Share it only with the intended audience, and consider adding Google reCAPTCHA to reduce automated sign-ups.

  • New users get the Authenticated role. Check that Authenticated does not have access to forms these users should not see.
