Deleting Submissions

Delete one or many submissions from a form's submission list, and choose whether deleted submissions are kept in the database or removed permanently.

Delete one submission

Open the submission from the View Data tab, select the Delete Submission tab, and confirm.

Delete several submissions at once

  1. On the View Data tab, select the submissions to delete. Use Shift+click to select a range, or Select all for the current page.

  2. Select Delete Selected, next to Export CSV. The button is available once at least one submission is selected.

  3. Confirm when prompted.

While the deletion runs, the button shows a spinning icon. When it finishes, the list refreshes and a message shows the result:

  • X submission(s) deleted.

  • X submission(s) could not be deleted. Some may fail, for example if you don't have permission to delete them. Both messages can appear together.

Deleting several submissions at once requires GlobalForms version 10.7.1 or greater.

What happens to deleted submissions

permanentlyDeleteSubmissions

Result

false (default)

The submission is marked as deleted and no longer appears in GlobalForms, but its data stays in the MongoDB database.

true

The submission is removed from the database. It can't be recovered except from a database backup.

To delete submissions permanently, add this to config\local.json and restart the GlobalForms service:

JSON
{
  "permanentlyDeleteSubmissions": true
}

If your organization must fully remove personal data when it is deleted, for example to meet a data-retention policy, turn on permanentlyDeleteSubmissions. With the default setting, deleted submissions remain in the database.

Files and PDFs

Deleting a submission does not delete its uploaded files or its PDF snapshot from the server. Remove these separately if your retention policy requires it.

Who can delete

Users can delete submissions according to the form's Delete Own and Delete All permissions. See User Permissions.
